Cvent vs iCapture vs Popl

Which event capture fits?.

Verified 8 Oct 20267 min read

The short answer

Choose the product around your role at the event. Cvent LeadCapture is positioned for exhibitors at an event you manage on Cvent, while Cvent iCapture is designed for your team at third-party shows. Popl offers a universal scanner, offline capture and CRM export, but its full badge-scanning capability requires the Event Lead Capture tier. These are different workflows, even though all three help move a booth conversation into a usable record.

  • Best for an event organizer: Cvent LeadCapture gives exhibitors a way to scan, qualify and rate their conversations at your event. 1
  • Best for an exhibiting team moving across shows: Cvent iCapture supports badge scans, cards, photos and manual entry in one capture experience. 2
  • Best for teams evaluating a shared scanning app: Popl documents badge, card and QR capture plus offline mode. Verify the ELC tier before assuming every Popl plan includes badge scanning. 3 3 4

1. The choice starts with who owns the event

The names can mislead a buyer into treating Cvent LeadCapture and Cvent iCapture as interchangeable. Cvent itself describes LeadCapture as the product used at events managed on its platform, helping exhibitors capture and track leads. 1 It describes iCapture as designed for third-party events and trade shows where your organization is the exhibitor or attendee. 1 That distinction matters more than a feature checklist. An organizer choosing what to offer its exhibitors has a different setup, data ownership and operational handoff from a sales team that attends a changing calendar of outside events.

Popl sits on the exhibiting-team side of this decision. Its help center describes a universal scanner that captures badges, cards or QR codes with one app. 3 This makes the first evaluation question concrete: are you equipping exhibitors at your own Cvent event, standardizing your reps' capture process across outside shows, or equipping a team with Popl's event capture workflow? Answer that before comparing any sales demonstration or contract.

2. Cvent LeadCapture: fit for the event organizer

Cvent says LeadCapture lets exhibitors scan, qualify and rate people they meet at your event. 1 It also lists custom qualification questions and on-demand export to a database. 1 1 For an organizer, the value of those functions is a common process offered to many exhibitors. For an exhibitor, the relevant test is whether the event you are attending actually offers this Cvent workflow and what access you will receive.

The handoff after the conversation deserves its own test. Cvent lists direct CRM import for exhibitors. 1 Ask to see a sample export with the exact custom questions your sales team needs. Then confirm who can view the records, when the export becomes available and how the lead is identified in your CRM. The vendor page establishes that these functions exist; it does not establish that every organizer configures them in the same way.

Where Cvent LeadCapture falls short

The scope described on Cvent's page is events managed on the Cvent platform. 1 If your team attends shows run by several organizers, do not assume the same LeadCapture setup travels with you to each show. The question is whether you control the event environment or merely participate in it. That is why iCapture belongs in the same evaluation even though it comes from Cvent.

Migration difficulty

For an organizer, test one exhibitor journey from badge scan through custom question and export. Cvent lists all three steps, so a pilot can verify field names and access without assuming they are universal defaults. 1 1 1 For an exhibiting team, ask the organizer what its event provides before changing your own capture process.

3. Cvent iCapture: fit for exhibitors across third-party shows

Cvent positions iCapture for outside events. 1 Its capture page lists badge scans, business cards, photos and manual entry, which gives reps several ways to log a conversation when badge formats differ. 2 The page also says iCapture integrates with more than 130 badge providers and other capture methods to pull the registration data behind a badge. 2 That is a vendor-stated integration count, not a guarantee that any particular upcoming show is supported. Put your actual event calendar in front of the vendor and verify each badge-provider path.

The product page names Salesforce, HubSpot, Marketo and Eloqua among direct lead destinations. 2 It says routing rules can use answers captured on the floor. 2 A sensible demo should show the same record at three points: immediately after a rep captures it, after qualification answers determine its route, and after it arrives in your chosen system. That reveals whether the data and ownership fields your team expects survive the handoff.

iCapture also describes connecting Calendly or HubSpot to book a meeting inside the capture flow. 2 Its page says leads can be captured offline, with booked meetings connected to lead records when connectivity returns. 2 These are especially relevant when a crowded venue has unreliable connectivity. Test the reconnect sequence with a sample lead before depending on it at a live event.

Where Cvent iCapture falls short

Its breadth creates configuration work. Multiple capture methods, destinations and routing rules are useful only if the team agrees on required fields and the owner for each kind of lead. This is an implementation inference from the workflows Cvent lists, not a claim that the product is difficult to use. 2 2

Migration difficulty

Start with one show, one qualification form and one CRM destination. Have reps test badge, card and manual capture because Cvent lists all three. 2 Then inspect how routing answers and offline records appear after sync. 2 2 This limits the risk of discovering a field mismatch after the show ends.

4. Popl: check the event tier and scan workflow

Popl's Event Lead Capture guide lists universal badge, card and QR scanning, offline mode, CRM integrations and an analytics dashboard. 3 3 3 3 It also lists required lead fields, which may help a team collect a more complete record before CRM synchronization. 3 These are product capabilities, not measured outcomes for a particular event.

The tier boundary is unusually important here. Popl's scanner guide says the Universal Badge Scanner is available to teams on the Event Lead Capture tier; the Digital Business Card plan alone does not include badge scanning. 4 It also says Individual Pro users get up to five lifetime trial scans, while full access requires ELC. 4 A buyer should therefore confirm the exact plan and number of scanning users in a quote or trial. The existence of a Popl digital business card account does not establish that an event team can scan badges at scale.

Popl lists badge-kit API integrations with event lead retrieval systems. 3 For a show whose badges encode only a lookup token, verify that the event's retrieval system works with the proposed Popl setup. A successful camera scan alone may not prove you will receive the registration fields your sales process needs.

Where Popl falls short

The most immediate limitation is plan scope: full scanner access requires ELC, and the DBC plan alone is insufficient. 4 The cited guide describes feature availability, but it does not demonstrate that a specific event badge kit or CRM field mapping will work without configuration. Verify those against your events and systems before buying.

Migration difficulty

Run a small test with the ELC tier, your actual event badge format, a required lead field and an offline-to-online sync. Popl documents those capabilities separately. 4 3 3 3 Keep the resulting CRM record as the acceptance check for the pilot.

5. A practical decision checklist

If you organize the event on Cvent, begin with LeadCapture and test the exhibitor's scan-to-export journey. 1 1 If your organization attends other companies' events, begin with iCapture and a list of the badge providers and CRM destinations you actually use. 1 2 2 If you want to evaluate Popl, begin by confirming ELC access and testing the badge kit at a real target show. 4 3

In every case, score the same demonstration: capture one person, record a qualification answer, work without connectivity if that matters at your venues, and inspect the final CRM record. The cited pages establish which vendors describe these steps. They do not establish comparative speed, accuracy or financial return. A field test using your own event and CRM will answer those questions more reliably than a feature list.

How we researched this

We checked Cvent's LeadCapture and iCapture product pages and two Popl help pages on October 8, 2026. The comparison uses those vendors' descriptions for feature and plan claims. We did not infer a price or comparative performance from them. Inferences about what to test are labeled as evaluation steps, and each cited feature maps to a saved source quote.
